Pick a time you can repeat

Choose a short slot each week when the shop is usually quiet. Consistency matters more than an ambitious schedule you cannot keep. Start by reading what has arrived since your last check.

Look at unanswered feedback first

Decide which reviews need a public response and which you have already addressed. Pay attention to low-rating feedback, but read its context before deciding what action is appropriate.

Separate replying from improving

A thoughtful response acknowledges the customer. A recurring concern may also call for a change inside the shop. Keep a simple first-party note about an action you control, rather than treating the reply itself as the whole solution.

Read reports with their freshness in mind

A weekly report is a view of available source at a stated time. An unavailable count does not mean zero, and a rating distribution is not a guarantee of future results. Use it to decide what to investigate, not to draw conclusions it cannot support.

End with one next action

Reply to a review, confirm a business fact or follow up on an internal concern. A manageable next step makes the routine easier to repeat.
